We are looking to expand our team and are hiring a full-time Office Manager for our new HQ in Vienna we only recently moved into.

In this role, you’ll have a wide range of responsibilities and the flexibility to constantly find ways to enhance our workspace. Your mission is to ensure everyone who enters our office has a great experience, from team members to visiting founders, investors, and suppliers.

Alongside office management, you’ll support our General Partners with high-level coordination—scheduling complex meetings and business travel, and project logistics. You’ll also assist the Events team in organizing both internal and external events.
Your Responsibilities
Office Management:

  • Responsible for the smooth running of the office - including managing all suppliers and services. In this role, you will be leading all office-related operations and relationships in Vienna
  • Act as the main point of contact for the landlord and building management, resolving any office and facility issues
  • Work closely with the team to gather feedback and constantly come up with new ways to ensure the office is a welcoming environment for everyone
  • Welcome our guests and ensuring they have a great experience from the first moment they set foot in our office
  • Collaborate with IT to ensure that all office tech and devices are fully operational, as well as employee on- and offboardings
  • Handle incoming mail, scheduling appointments, and preparing meeting rooms for the Management team
  • Keep our kitchen fully stocked with fresh and delicious supplies for the team
  • Organise monthly team lunches and occasional drinks or small social gatherings
  • Proactively optimise, automate, and document office management processes
  • Maintain and improve workplace safety in the office
Partner Assistance:

  • Coordinate complex business travel arrangements and scheduling for General Partners, liaising with internal and external stakeholders
  • Lead end-to-end coordination for key internal and external initiatives, including offsites, leadership meetings, hosted dinners, speaker registrations, while ensuring seamless alignment across all stakeholders
Event Support:

  • Internal Events: help organise and set up in-office events, including drinks/snacks, space preparation, and on-site support on the day
  • External Events: assist visiting Si team members with logistics like restaurant bookings and providing local tips
  • Event Team Support: work closely with the Events team to help plan and execute larger company events
Your Qualifications
  • You’re a people person who enjoys working with others, helping the team thrive, and naturally bringing positive energy to those around you.
  • At least two years of relevant work experience in Office Management and/or Hospitality
  • Fluency in both German and English, with strong communication skills is a must
  • Affinity to digital tools like Google Workspace, Notion, Slack, etc.
  • You’re flexible, hands-on, proactive and structured and are happy to jump in where needed and support different areas of the business
  • Excellent organisational skills and ability to identify tasks and work effectively without supervision
  • Certification as a fire marshal and/or first aider is a plus

According to Austrian law we are required to state a minimum salary for this position. The expected minimum annual gross salary for this role, on a full-time basis is EUR 40,000.00. The salary will be a competitive package based on previous work experience, hence overpayment is possible.
